This Privacy Policy explains how Latens handles personal data for its website, business communications, account administration, billing, support, security, and hosted AI inference services.
Latens is the public service name used for the AI inference services described in this Policy.

1. Overview
This Privacy Policy explains how Latens collects, uses, discloses, and protects personal data in connection with the Latens website, business communications, account administration, billing, support, and hosted AI inference services.
Latens is a business-to-business service. The Services are not intended for consumers, children, or personal household use.
Production inference endpoints are operated under Zero Data Retention unless a separate signed agreement expressly states otherwise. Latens does not intentionally store prompt text, completion text, or persistent result caches from production inference requests after request completion, and does not use prompt or completion text to train, fine-tune, evaluate, benchmark, or improve models or services without Customer opt-in or a signed agreement.
2. Who We Are
Latens is the public service name used for the AI inference services described in this Policy.

3. Scope of This Policy
This Policy applies to personal data processed by Latens as an independent controller for account, website, billing, support, security, legal, and business administration purposes.
When Latens processes personal data contained in Customer Inputs or Outputs on behalf of a Customer, Latens acts as processor or subprocessor under the Latens Data Processing Addendum and Customer instructions. In that situation, Customer is responsible for providing any required notices and obtaining any required rights, consents, and legal bases from its end users or other data subjects.
This Policy does not apply to Customer websites, applications, integrations, or end-user services that use Latens. Customer is responsible for those services and for its own privacy notices.
4. Personal Data We Collect
Account and business contact data: name, work email, company name, role, authentication information, organization membership, and account settings.
Billing and tax data: billing contact, billing address, tax identifiers, invoice history, payment status, credit balance, and transaction metadata. Payment card details are handled by payment processors and are not intended to be stored by Latens.
Usage Metadata: timestamp, account identifier, API key identifier, endpoint, model identifier, token counts, latency, status code, error category, request size, charge amount, and similar operational metadata. Usage Metadata does not include prompt or completion text.
Support and communications data: messages, requests, attachments, diagnostics voluntarily provided by Customer, call notes, and related correspondence.
Security and technical data: IP address, user agent, device and browser information, access logs, authentication events, rate-limit events, abuse signals, and incident records.
Website data: data submitted through forms and limited technical information required to operate the website. If Latens later uses non-essential analytics or advertising cookies, Latens will provide appropriate notice or consent controls where required.
Customer Content: Inputs and Outputs submitted to production inference endpoints are processed transiently to generate responses and are not intentionally retained under ZDR after request completion.
5. Customer Content and Zero Data Retention
Production inference endpoints process Inputs and Outputs only for the time necessary to provide the inference response, including transient processing needed for streaming, queueing, retry handling, non-persistent in-request KV-cache reuse, network transmission, and request completion.
Latens does not intentionally write prompt text, completion text, or persistent result caches from production inference requests to persistent logs, databases, monitoring systems, analytics systems, backups, or training datasets.
Latens does not use Customer Content from production inference endpoints for model training, fine-tuning, evaluation, benchmarking, product improvement, or marketing without Customer opt-in or a signed agreement.
Because of ZDR, Latens generally cannot retrieve, correct, export, or delete prompt or completion text after the inference request has completed.
Latens may use runtime optimizations such as continuous batching, scheduling, and non-persistent in-request KV-cache reuse. These optimizations are designed to support inference execution and are not used to persist prompt text, completion text, or reusable result caches after completion of a ZDR request.
6. How We Use Personal Data
We use personal data to provide, secure, administer, bill, support, and improve the Services, to communicate with Customers, to prevent abuse and fraud, to comply with law, to enforce contracts, and to protect rights and safety.
We use Usage Metadata for billing, rate limiting, security, fraud prevention, debugging, reliability, capacity planning, SLA measurement, and compliance. Usage Metadata is not used to reconstruct prompt or completion text.
7. Legal Bases for Processing
For people in the European Economic Area, United Kingdom, or Switzerland, Latens relies on the legal bases below where applicable.

8. Cookies and Similar Technologies
Latens may use cookies or similar technologies that are necessary to operate the website, maintain sessions, secure forms, remember preferences, and measure basic service performance.
Latens does not currently describe any non-essential advertising cookies in this Policy. If non-essential analytics or advertising cookies are introduced, Latens will update this Policy and provide consent controls where required by law.
9. How We Disclose Personal Data
Latens may disclose personal data to personnel, contractors, subprocessors, payment processors, hosting and infrastructure vendors, support and communications tools, professional advisers, auditors, insurers, acquirers, affiliates, regulators, courts, law enforcement, and other parties where necessary for the purposes described in this Policy.
Latens does not sell personal data. Latens does not share Customer Content for cross-context behavioral advertising. Latens does not use production Customer Content for third-party advertising.
Latens may disclose aggregated or de-identified information that does not identify Customer or individuals.
10. International Transfers
Latens supports production inference deployments across agreed deployment regions. Region selection is deployment-specific and agreed with the Customer.
Some account, billing, support, security, and business operations may involve processing outside the European Economic Area. Where required, Latens uses lawful transfer mechanisms such as adequacy decisions, Standard Contractual Clauses, or other safeguards permitted by applicable data protection law.
11. Retention
Latens retains personal data only for as long as necessary for the purposes described in this Policy, including service delivery, billing, security, legal compliance, dispute resolution, enforcement, and legitimate business records.
Where legal retention rules apply, such as applicable accounting and tax retention requirements, Latens retains records for the legally required period. Where data is retained for security or dispute reasons, retention may be extended only as reasonably necessary.

12. Data Security
Latens uses administrative, technical, and organizational safeguards designed to protect personal data, including access controls, encrypted transport, encryption at rest where supported, administrative multi-factor authentication, API key hashing where technically feasible, logging controls, backup controls, incident response, access reviews, and vendor review.
No system is perfectly secure. Customer is responsible for securing its own systems, users, API keys, applications, and end-user notices.
13. Sensitive and Regulated Data
Customers must not submit special-category personal data, protected health information, payment card data, biometric identifiers, government identification data, customer secrets, classified information, export-controlled data, or other highly sensitive data to the Services unless Latens has expressly agreed to that use in a signed agreement.
If Customer submits personal data to the Services, Customer is responsible for ensuring that it has a lawful basis, notices, consents, contracts, and safeguards required for that submission and use.
14. Your Privacy Rights
Depending on your location, you may have rights to request access, correction, deletion, restriction, portability, objection, withdrawal of consent, or other rights under applicable data protection law.
To exercise rights for personal data controlled by Latens, contact contact@latens-ai.com. Latens may need to verify your identity and authority before responding.
For personal data contained in Customer Content processed on behalf of a Customer, requests should be directed to the relevant Customer. Latens will assist Customer as required by the Data Processing Addendum and applicable law.
You may have the right to lodge a complaint with a supervisory authority in your jurisdiction.
15. Children
Latens is a business-to-business service and is not intended for children. Latens does not knowingly collect personal data from children through the Services. Customers must not allow minors to use the Services directly.
16. Changes to This Policy
Latens may update this Policy from time to time. The updated version will be effective when posted or otherwise made available, unless a later effective date is stated. Material changes will be communicated where required by law.
